What information do we use?
When you apply for an account, we process your company name, VAT or business registration number, contact person’s name, email address, telephone number, business address, country and application language. We also retain account information and the status of your application.
For quote requests, we process your contact and company details, selected products and quantities, sales countries, any additional countries you enter, your choice of transport or collection and any information you add to your request. When you email us, we process your message and the associated contact details.
Website visits may involve processing technical information such as your IP address, browser details, pages visited, timestamps and session data. This information is used, among other things, to provide the website and investigate faults or misuse.
Why do we process this information?
We use your information to assess whether your business qualifies for a business account, manage your account, answer questions, prepare quotes and arrange and carry out delivery or collection agreements.
For requests you make on your own behalf as a business owner, processing is necessary to take steps towards or perform our contract. When you act on behalf of a company, we process your business contact details on the basis of our legitimate interest in doing business with that company. Security and misuse prevention serve our legitimate interest in maintaining a reliable website. We also process administrative information where necessary to meet legal obligations.
The registration fields are required to assess a business application. You cannot submit the form without this information. We review each account application; submitting an application does not automatically grant access to restricted prices.
VAT checks through VIES
When you enter your VAT number, we send the number and country code to VIES, the checking service of the European Commission and participating tax authorities. We retain the result, the time of the check and any company name and address returned by VIES with your application. This helps us verify business applications. A VIES result does not automatically approve an account. If the service is unavailable or the number falls outside VIES, a manual check is required.
Who may receive your information?
Account applications and quote requests are handled within Van Gennip BV and forwarded by email to our sales department. Service providers for hosting, email, website administration and security may process data to operate the website. If we enter into a contract, relevant information may also be needed by carriers, administrative service providers and competent public authorities.
Some product images are loaded from external servers. When an image is retrieved, the server receives technical connection information, including your IP address.

How long do we keep your information?
Retention depends on the purpose. For account information, we consider the duration of the customer relationship and the need to administer the account. Technical information is assessed against its necessity for operation, security and incident investigation.
